WebMail - Automatic Reply

This article describes how to set up an automatic reply in the WebMail ⧉ client. More detailed information about managing email filters can be found in the article WebMail – Filter Settings.

The screenshots were taken in the new Elastic template. If you use the older Larry template, follow the text instructions, or temporarily change the template according to the manual.

Creating an automatic reply

To create a new automatic reply, first create a new filter using these steps:

  1. Log in to the WebMail ⧉ client.
  2. Click the Settings button.
  3. Select Filters from the menu.
  4. Click the Create button.

Fill in the Filter definition form with:

  • Filter name: Choose any name that will help you easily identify the filter.
  • Incoming message rules: Check All messages.
  • Perform the following action: In the menu, select Reply with message and fill in the Message and Message subject fields, which will let the recipient know that this is an automatic reply.

Finish the setup by clicking the Save button.

You can extend the basic automatic reply with additional options, for example:

Limiting the number of automatic replies

By setting a positive number in the Delay between automatic replies field in the Action section, you can choose your own delay for sending automatic replies. The minimum is 1 day. If you leave the field empty or set it to 0, the system will set the default interval of 7 days.

Date limitation (from – to)

If you do not want to manually turn the filter on and off for a certain period, you can set Current date as the condition. Extend the basic setup with these steps:

  1. In the Rules section, select All rules match.
  2. Select the Date rule, choose its format and the condition value is greater than or equal to. In the last field, enter the date from which you want the automatic message to be sent, in the selected format.
  3. Use the + button to add another rule.
  4. Select the Date rule, its format and the condition value is less than or equal to. In the last field, enter the date until which you want the automatic message to be sent, in the selected format.

Deleting the message

Deleting messages via a filter does not use the Trash. Messages deleted this way cannot be restored in any way.

If you want to delete messages received in the mailbox during your absence right away, extend the basic setup with these steps:

  1. In the Action section, use the + button to add another rule.
  2. Select Delete message.

Turning the automatic reply off and on

If you want to temporarily stop sending the automatic reply or re-enable it, follow these steps:

  1. Log in to the WebMail ⧉ client.
  2. Click the Settings button.
  3. Select Filters from the menu.
  4. Select the filter – automatic reply.
  5. Toggle the button for Filter active.
  6. Click the Save button.

You can recognize a disabled automatic reply by its faded name.

Common issues

Common problems with setting up an automatic reply include:

Automatic reply does not work

Problem: Automatic replies end up in spam, or are not delivered at all.

Cause: By their very nature, automatic replies usually have a fairly high spam score.

Solution: First check the deliverability of automatic replies by setting the All messages rule. If the automatic reply is not delivered, address the email deliverability issue. If it is delivered, but the detailed filter still does not work, check and adjust the entered conditions if necessary.

You can improve deliverability using the domain SPF and DMARC record. If you test the filter from one address and have a non-zero value set for the number of days between automatic replies, keep in mind that you will receive one automatic reply per address within 24 hours.

Either turn it off, or delete it completely using a similar procedure.

Can I automatically reply only to selected emails?

Yes, you can extend the filter with recipient address matching according to the filter setup guide.
